Registration

Register your party at cardinalsync.stanford.edu. To get access to the registration, you must take OAPE’s party planning training during the year you want access to the system. At the end of each academic year, participants information will be deleted.

Before registering, please note that quite hours begin at 10pm Sunday - Thursday and 1am on Friday and Saturday nights (Satruday and Sunday mornings ).  At that point, music and noise should be kept to a minimum and should not be heard outside of the building in which your party takes place.  

Party Categories

Members

Lead Time to Register: 3 Days

Guests: No More Than 1 Invited Guest per Organization Member

Definition: A closed party with one optional guest per member in a University residence or other defined University space.

For all events:

  • Attendance is limited to group members and 1 optional guest. Party size can be no more than twice the membership size.
  • Flyers or other publicity must not be distributed outside an individual residence, student organization or off campus via email or the web. Individual invitations are acceptable.
  • A Stanford student can escort one non-Stanford college student guest with valid college ID.
  • Groups that are 100 percent graduate student in membership may have hard alcohol in the form of mixed drinks at registered “Members” parties. Shots of hard alcohol are prohibited at any party.

  • Beer and wine are the only alcoholic beverages that can be present at all on-campus undergraduate student parties including, “members” parties.

Invite Only

Lead Time to Register: 7 Days

Guests: No More Than 3 Invited Guests per Organization Member

Definition: A private party with individual invitations. No more than 3 invited guests per member of the organization may attend, in a University residence or other defined University space. The size of party is set by the venue's capacity. It is the responsibility of the host to enforce posted occupancy loads.

For all events:

  • Attendance is limited to group membership and their personally invited guests. Guest list size can be no more than 4 times organization membership.
  • Flyers or other publicity must not be distributed outside an individual residence, student organization or off campus via email or the web. Individual invitations are acceptable.
  • A Stanford student can escort one non-Stanford college student guest, with valid college ID.
  • Hard alcohol cannot be served, including mixed drinks containing hard alcohol.

All-Campus

Lead Time to Register: 14 Days

Guests: Open to all Stanford Students

Definition: A party open to Stanford students with limited off-campus guests.

For all events:

  • A current Stanford student ID must be presented before entry is permitted.
  • A Stanford student can escort one non-Stanford college student guest, with valid college ID.
  • All publicity, including email, is to be limited to on-campus distribution and must state all entrance requirements.
  • All-Campus Parties that are deemed high impact may be subject to additional conditions (for example, Stanford students only).
  • Hard alcohol cannot be served, including mixed drinks containing hard alcohol.

Off-Campus

Lead Time to Register: 21 Days

Guests: Open to Stanford Students

Definition: A party, including formals, sponsored by a Stanford student organization and held at any off-campus site. Registration will include transportation plan and safety plan for loading and unloading.

For all events:

  • A Stanford student can escort one non-Stanford college student guest, with valid college ID.
  • Alcohol is not permitted on any charter bus or other form of hired transportation.
  • Parking and/or drop-off plans for all buses should be made in advance with the venue or local city.
  • When more than 50 people will be attending, buses must be chartered to transport your members to the venue.
  • Should a bus be chartered, security must be hired to load and unload the bus.
  • All rental bus companies must provide proof of insurance that meet all University requirements. For more information contact charterbus@stanford.edu.
  • The host must implement plans to ensure that attendees consuming alcohol are 21 years or older.
  • Open bar is not permitted at the party.

Stanford Students and Other Colleges

Lead Time to Register: 30 Days

Guests: Open to Stanford Students and Current Students from Other Colleges

Definition: A party open to Stanford students and invited current students from other colleges.

For all events:

  • A detailed written party plan must be presented for review no later than 30 days prior to the desired date.
  • Security needs must be determined by the nature of the event in consultation with the Department of Public Safety. As a minimum, the host is required to hire at least two professional security staff and provide at least one sober monitor for every 50 guests throughout the event. They should not consume alcohol before or during their shift. Notify the Department of Public Safety at least 30 days in advance of the party.
  • Parties are permitted only in Tresidder Union, Bechtel International Center, Elliott Program Center the Graduate Community Center and Paul Breast.
  • All publicity must be targeted solely to approved college student populations with all entrance requirements clearly stated, and not widely distributed. All content and distribution plans must be approved prior to any publicity. Publicizing online or through any other means of advertising is prohibited.
  • Every guest must present a current Stanford student ID or local college student ID, as indicated in your written party plan.
  • No re-entry is permitted.
  • Five group representatives should attend a party planning work- shop before hosting this party.
  • Hard alcohol cannot be served, including mixed drinks containing hard alcohol.

Note: Sponsoring a Stanford Student & Other Colleges party is a privilege that is contingent upon thoughtful and organized planning and responsible implementation. Any violation of these guidelines may result in immediate suspension of parties.
Any proposed outdoor party that is not a Members Party requires at least a 21 day online registration.

Once you have registered your party, you will receive a response from OAPE or ResEd letting you know that your party has been “approved,” “denied” or “awaiting changes,” meaning that there is a question about your application that needs to be addressed before the party can be approved. During the registration process, continue to plan the other aspects of your party, but do not advertise your party until it’s been approved.
